01What is saved
Your questions and answers are saved
When you ask Genius a question, it saves a record of that exchange once the answer is finished. The record includes:
- Your question, the answer Genius wrote, and a chat title taken from the start of your first question.
- The Roundtable videos and web pages the answer used, and any sponsor box shown with it.
- Your thumbs up or down, if you gave one.
- Technical details such as which AI model answered, how long it took, and what it cost to run.
- A scrambled code made from your internet address (IP address), saved whether or not you are logged in. The address itself is not saved with your chats. The code is used to apply question limits, and the team may use it to look into misuse.
When you are logged in, chats are saved to your account. When you are not, they are saved under a guest ID linked to this browser.
02What reviewed means
People who run Genius may read saved chats
Genius is run by the Fixed Ops Roundtable, and Chamberlin Design builds and maintains it for the Roundtable. People at the Roundtable and at Chamberlin Design who run Genius can read saved chats, ratings, and answer records. That does not mean someone reads every chat. It means they may read chats to:
- Find and fix answers that are wrong or incomplete.
- Improve how Genius searches the Roundtable library.
- Adjust the instructions Genius follows and the limits on how many questions can be asked.
- Look into a problem you report, a request you send, or misuse of the service.
Genius does not show your chats to other people who use it, apart from the shared computer case described under Not logged in. Sponsors do not receive your chats.
03Work mode
Work chats and files stay private to you
Work mode is for Fixed Ops Roundtable members the Roundtable turns it on for. It is where members work with their own spreadsheets and files, and it is handled more privately than other chats:
- Your Work files, and the files Genius makes for you, can be downloaded only from your account. Other members never see them.
- The dashboard the Roundtable team uses shows Work only as numbers: how many Work questions each person asked and how much of their monthly Work limit they used. It does not show your Work files, your Work questions or the answers. Chamberlin Design, which maintains Genius, opens stored Work chats or files only to fix a problem or to handle a request from you.
- For each Work question, Genius copies the chat's files into a locked workspace at Anthropic, where code reads them and works out the numbers. Genius deletes Anthropic's copies when the question ends, and the workspace closes on its own soon after. Anthropic handles what it received under its commercial terms, which do not let it train its models on it.
- Genius deletes each Work file 30 days after it was uploaded or made, or right away when you delete the chat it is in. The Work questions and answers are saved like any chat.
Upload reports, such as hours by month, by pay type or by technician. Leave customer names, phone numbers, addresses and VINs out of your files. If a file holds them, Genius works with totals and does not repeat those details.
04AI training
Genius does not train AI models
Improving Genius means changing its instructions, its search, and the library it draws from. It does not mean training an AI model on your chats. Genius has no AI model of its own.
Answers are written by Claude, an AI model made by Anthropic, which Genius uses through Anthropic's API. Genius sends Anthropic your question, earlier messages in the same chat, and the Roundtable material it found. To search the Roundtable library, Genius also sends the text of your question to Voyage AI. The sponsor box is picked separately, from your question (on a short follow-up, part of the question before it too) and the Roundtable's sponsor settings, and never sees the answer. Genius does not add your name, email address, account ID, or internet address, but anything you type into a question is sent as you typed it. Under Anthropic's commercial terms (opens in a new tab), Anthropic may not train its models on what Genius sends through the API.
To search the web, the AI writes search terms based on your question, and Anthropic runs those searches.
05Thumbs up and down
A rating is saved with that answer
Tapping thumbs up or thumbs down saves your rating on that answer. The team may use ratings to find answers that need work.
While the answer is still on your screen, tap the same thumb again to clear it, and the saved rating is deleted. When you reopen a chat later, Genius does not show the ratings you gave, so to remove an older rating, email ted@fixedopsroundtable.com.
A rating stays with your saved chat. It is not sent to Anthropic or to any sponsor.
06Not logged in
Chats without an account belong to this browser
You can ask Genius without logging in. Those chats are saved in our database under a guest ID kept in a cookie in this browser, so only this browser can list or open them in Genius.
When you log in or create a free account on this browser, those chats move to your account. The guest cookie lasts one year. If you clear your cookies or the cookie runs out first, Genius can no longer find those chats for you, but they stay saved in our database.
On a shared or public computer, chats asked without logging in can move to the next person who logs in on that browser. Log in before you ask, and log out and clear cookies when you are done.
07Deleting chats
Delete removes a chat from your list, not from our database
To delete a chat, open its menu in the sidebar and choose Delete. The chat disappears from your chat list, but its saved record, including the answers and any ratings, stays in our database.
Deleting a Work chat also deletes its files right away: the files you uploaded and the files Genius made.
To have saved chats erased, email ted@fixedopsroundtable.com. The Privacy Policy explains how requests are handled. For chats asked without logging in, tell us roughly when you asked and what, so they can be found.
Your Fixed Ops Roundtable membership is your Genius login. If you delete it at fixedopsroundtable.com/account (opens in a new tab), the chats and ratings saved to your account are erased from our database along with it, including chats you had deleted from your list. Copies may remain in database backups until those backups expire.
